CRM for Active Tourism: Managing Clients, Groups and Guides

A generic CRM thinks of customers as “contacts” and of sales as “opportunities”. For an active tourism company, that falls well short. Your customer might be a family of four, a school with 60 pupils, a company organising a team-building day or a couple who come back every summer. Each of them needs something different: insurance, consent forms, sizes, experience level.

In this article we look at what a CRM for the tourism sector should do, specifically for active tourism, and how it differs from a generic CRM.

Not all your customers are the same

In active tourism you work with at least four types of customer. Each one books, pays and interacts with you differently.

Customer typeWhat you need to knowParticularities
Individual or familyAges, sizes, level, preferencesBook online, usually return if the experience is good
Informal group (friends, stag/hen parties)Group leader, number of participantsNumbers change at the last minute, pay separately
CompanyTax details, HR contact, budgetAsk for a quote first, invoice the company
School or associationStaff ratio, parental consent, allergiesMandatory paperwork, deferred payment

A generic CRM forces everyone into the same record and pushes the rest into a “notes” field. A specialised CRM understands that a school and a family are not managed the same way.

In AnturCRM, the CRM - Customer Management module has customer records and group records. A group can have a leader, a list of participants and a company or school that gets invoiced. That way you know who booked, who turned up and who to invoice.

Activity history is your best sales tool

Picture a customer calling to book. With a good CRM, on a single screen you see:

  • Which activities they have done with you, and when.
  • Their experience level: if they did a beginner canyon, you can suggest an intermediate one.
  • Their preferences: mornings, coming with kids, interested in climbing.
  • Their wetsuit or climbing-shoe sizes, so the gear is ready.
  • How they paid before and whether they have an unused voucher.

That information turns an ordinary call into personalised service. And a customer who feels looked after comes back and recommends you.

History also feeds your marketing. With AnturCRM’s Marketing module you can segment by activity and profile. For example, you can contact last summer’s rafting customers in spring, or offer a climbing course to people who already did a taster session.

This is where a generic CRM completely falls down. In active tourism, paperwork is not optional. It is a legal obligation and protection for your business.

For each participant you may need:

  • A signed informed consent form acknowledging the risks of the activity.
  • Parental or guardian authorisation for minors.
  • Activity accident insurance details.
  • Relevant medical information: allergies, medication, injuries.
  • A fitness declaration: can swim, no fear of heights, and so on.

If those documents live in a folder or an inbox, finding a specific authorisation when you need it is hard. And if there is an incident, you need it in minutes.

AnturCRM manages these documents inside each customer and group record. With the Safety and Compliance module, consent forms are signed digitally and linked to the booking. Before the activity, the guide can check on their phone that every participant’s paperwork is complete.

Guides are part of the CRM too

An active tourism CRM does not only manage customers. It also manages the people who make each activity possible: your guides and instructors.

Each guide’s record needs:

  • Qualifications: sports technician, canyoning guide, white-water guide, climbing instructor.
  • Expiry dates: first aid, lifeguard certificates, mandatory refreshers.
  • Languages: essential if you work with international visitors.
  • Availability: days off, holidays, sick leave.
  • History: which activities they have led and with which groups.

AnturCRM’s Guides and Staff module brings all of this together and links it to the booking calendar. The result is very practical. When an English-speaking group books a white-water trip, the system only suggests guides with a valid qualification who speak English and are free that day.

History works both ways. If a customer asked to go out again with a particular guide, it is on record. If a school group had a great experience with an instructor, you can assign the same person next year.

Generic CRM vs. CRM built for active tourism

A real example: a corporate booking

A company wants a rafting team-building day for 30 employees.

  1. Quote. You create the company record with its tax details and send the quote from the Invoicing and Sales module.
  2. Confirmation. The company accepts. The quote becomes a booking and appears on the calendar.
  3. Participants. You register each employee in the group, with their size and a digitally signed consent form.
  4. Guides. The system suggests available white-water guides for the ratio the group requires.
  5. On the day. Guides see the participant list, sizes and any missing signatures on their phones.
  6. Afterwards. The invoice goes to the company. The history stays on file for next year.

All in one system. No copying data from one place to another.

Conclusion

A CRM for active tourism is not a generic CRM with a different logo. It is a tool that understands your customers come in groups, need paperwork, have sizes and skill levels, and that your guides hold qualifications that expire.

When customers, guides, bookings and invoicing live in the same place, you deliver better service and work with more peace of mind. If you want to see how AnturCRM manages your customers and your team, request a demo and we will walk you through it with your own cases.
