Sports Equipment Control: How an ERP Helps You Never Lose Gear
Quick question: how many size M wetsuits do you have in good condition right now? And when were the harnesses that went canyoning yesterday last inspected?
If you had to think about it, you are not alone. In most active tourism companies, gear is tracked “from memory” or in a spreadsheet nobody updates during high season. That has a cost: gear that gets lost, wears out early or, in the worst case, goes out on an activity when it should not.
In this article we look at how an ERP helps you control your company’s sports equipment and stop losing gear.
Why gear is a headache in active tourism
Sports equipment has three characteristics that make it hard to manage:
- It is expensive. A wetsuit, a harness, a certified helmet, a rafting buoyancy aid or a raft is a significant investment. Multiply that by dozens of units.
- It wears out fast. Water, sun, rock and heavy use in high season all shorten its service life.
- It is safety equipment. A harness or a rope is not just a cost. It is what protects your customers. Manufacturers set a maximum service life and recommend periodic inspections.
Then there is the size problem. Knowing you have 40 wetsuits is not enough. You need to know how many of each size, because a group of 12 adults and 8 children does not use the same gear.
What a good inventory system should track
Inventory by size and by unit
Some gear is managed by quantity, like carabiners. Other items need unit-level tracking: every harness, every helmet, every rope. That way you know each item’s purchase date, inspections and usage history.
AnturCRM’s Equipment and Inventory module supports both. You register each item with its size, condition and purchase details.
Status and traceability
Each piece of gear needs a clear status:
- Available: ready to use.
- Assigned: reserved for an activity or a group.
- Under inspection: awaiting inspection or repair.
- Retired: past its service life or damaged.
With full traceability you know which activity each item was used on and who had it. If a helmet turns up with a dent, you can see which activity it came back from.
Periodic inspections
Manufacturers of personal protective equipment recommend a check before every use plus more detailed periodic inspections. It is also good practice to keep a written record of them.
| Gear | What to check | Indicative frequency |
|---|---|---|
| Harnesses | Stitching, webbing, buckles, abrasion | Visual before each use and detailed periodic inspection |
| Helmets | Impacts, cracks, chin strap, fit | Visual before each use |
| Ropes | Sheath, core, usable length, falls held | Before each use, plus a usage log |
| Wetsuits | Seams, tears, zips, hygiene | After each use |
| Buoyancy aids | Buoyancy, buckles, straps | Periodic and after impacts |
| Rafts and kayaks | Punctures, valves, hull | Pre-season and periodic |
These frequencies are only a guide. Always follow each manufacturer’s instructions.
In AnturCRM you set the inspection frequency for each type of gear. The system alerts you when an inspection is due and records who carried it out and the result.
Service life
Protective equipment has a maximum service life from its manufacturing date, even if unused. Heavy use shortens it. A good ERP calculates each item’s expiry date and warns you in advance. That way you plan purchases before the season, not in the middle of August.
Assigning gear by activity and group
This is where a specialised ERP makes a real difference compared with an inventory spreadsheet.
In AnturCRM, each activity defines the gear it needs. A canyoning trip needs a wetsuit, helmet, harness, neoprene socks and, depending on the canyon, abseiling kit. When a group books:
- The system calculates the gear required from the number of participants.
- If customers’ sizes are in their records, it reserves the correct size.
- It checks there are enough available units in good condition for that day.
- It warns you if gear is short or if an item has an inspection due.
That avoids the classic scene: 9:00 on a Saturday, the group is at the door, and you discover there are no size S wetsuits left.
Maintenance and restocking alerts
Alerts are the most useful part of the system because they do the work for you. In AnturCRM you can be notified about:
- Inspection due: a harness has reached its periodic inspection date.
- End of service life: a helmet expires next month.
- Minimum stock: fewer than five size L wetsuits are available.
- Gear not returned: an item assigned to an activity has not come back to the store.
That last alert saves you the most gear. Many losses are not theft. They are items left in the van, at another base or at a guide’s home.
Lending and renting gear
Many active tourism companies also rent out gear: kayaks, bikes, climbing or via ferrata kits. Rentals have their own needs:
- Recording who takes each item and when it comes back.
- Charging the rental fee and, if needed, a deposit.
- Checking the condition of the gear on return.
- Invoicing for damage or loss if necessary.
Because it is integrated with the Invoicing and Sales module, gear rental is charged and invoiced from the same system. Internal lending to guides or other bases is also recorded, so you always know where each item is.
Reports: what your gear really costs
With usage, inspection and retirement data, the Reports and Analytics module helps you answer questions like:
- Which type of gear wears out first?
- Which activity is hardest on equipment?
- How much gear do I need to replace for next season?
- Is a more expensive brand worth it if it lasts longer?
Those answers help you buy better and work out the real cost of each activity.
Conclusion
Gear is both an investment and a responsibility. A spreadsheet works until high season arrives and nobody has time to update it.
An ERP like AnturCRM connects inventory with bookings, inspections and invoicing. The result is less lost gear, fewer emergency purchases and more peace of mind when your customers put on their harness.
